An external contributor needs enough context to do good work. That can include the brief, the relevant conversations, and a clear explanation of who makes decisions.
The amount of access they need depends on their role. FridayHQ distinguishes full outside collaborators from limited outside collaborators, giving teams different ways to involve people from another company.
Start with the work they need to do
Before sending an invitation, define the contributor’s responsibility. Are they working throughout a campaign, helping with a specific deliverable, or joining a limited discussion?
List the information and conversations they need. A freelance producer coordinating an ongoing project may need a different arrangement from a specialist answering questions in one topic.
Use that role to guide the invitation, rather than giving every external person the same setup.
Understand the two collaboration models
FridayHQ’s in-app help explains that full outside collaborators can switch into the workspace they have been invited to. Limited outside collaborators remain in their home workspace and only see the chat topics they were invited to.
That makes the distinction important when planning the collaboration. A topic-based exchange has a different scope from working inside another company’s workspace.
Before promising access to particular content or tools, check the current invitation options and permissions for the arrangement you intend to use. Workspace switching alone does not explain every permission.
Send the invitation with a clear handoff
The in-app help directs you to Settings, then Team, then Invite member. From there, you can send an email invitation or copy an invite link, using the appropriate collaborator option.
Alongside the invitation, explain why the person is joining, where the relevant conversation will happen, and whom to contact with questions.
A useful welcome message includes the project’s purpose, the first deliverable, and the expected deadline. It should give the contributor a concrete starting point.
Agree on how feedback and decisions will work
Name the person who will consolidate feedback and the person who will make the final decision. Explain which conversations should happen in shared topics and where the contributor should report progress.
Where their access supports a broader content workflow, make sure they understand the relevant review and task conventions. For limited collaborators, keep the expected interaction aligned with the topics they can access.
Close the engagement deliberately
As the work finishes, confirm that the agreed files and decisions have been handed over. Resolve remaining questions while the contributor still has the necessary context.
Then ask the workspace administrator to review whether continued access is appropriate under your team’s process.
Good external collaboration starts with a clear assignment and an access arrangement that fits it. Define those first, and the invitation becomes the beginning of a useful working relationship.
